Forward Work Texts to a Personal Phone

By Fwrd ·

An iPhone can send selected new work texts to a personal number through a Message automation in Apple’s Shortcuts app. Before you set one up, check your employer’s security and privacy rules. Work messages may contain customer, employee, or business data that must stay in approved systems.

What you need: A work iPhone with Shortcuts, permission to forward the messages, the destination number or an approved chat, and a rule that matches only the alerts you need.

Check your employer’s rules first

Ask whether your employer allows text forwarding to a personal phone, personal account, or third-party chat service. Some work messages contain confidential information, customer data, or one-time passcodes. A message that looks routine can still be covered by company policy.

If the iPhone is managed by your employer, check with IT before changing automation settings. Use a company-approved alert system when one is available. Fwrd does not check your employer’s policy, manage the phone, or decide which message is safe to share.

Set up a keyword-filtered automation

  1. Choose a word that appears in the work alerts you need, such as “dispatch” or “ticket.”
  2. In Shortcuts, create a Message automation. The screen names differ by iOS version; our current guide shows both paths.
  3. Set the Message Contains rule to that word.
  4. Add Apple’s Send Message action and set the approved personal number as the recipient.
  5. If your employer permits automatic sending, set the action and automation to run without another tap, using the controls for your iOS version.
  6. Test only with a message your employer allows you to forward.

Use a narrow keyword. A broad rule can send more work messages than you expect. If there are several kinds of alerts, use separate automations and test each rule. The automation runs on the work iPhone, so that phone must be on when the text arrives.

See our Shortcuts message automation guide for the trigger steps. The guide explains how to choose the Message rule and set the automation to run without asking.

When Fwrd may fit a work setup

Fwrd’s current App Store version can send matching message text to Slack, Discord, or Telegram. The Slack setup guide includes a video; Discord and Telegram have video-backed guides too. This may help when your team already uses one of those services and your employer approves that destination. Add the approved channel or chat in Fwrd, then add Fwrd’s action to the Message automation.

Fwrd sends text only and does not copy message history or attached photos. Replies in a chat app do not come from the work phone number. Check who can see the channel before you send alerts there. Keep personal and company data within the systems your employer approved.

Limits of forwarding work texts

Shortcuts acts on new messages that match the sender or message-content rule. It does not import old messages. A word that is too broad may forward private conversations, while a word that changes between alerts may miss some. Read sample alerts and test the rule with an approved message.

The source iPhone must be on. Chat destinations also require internet access. Fwrd cannot tell whether a message is work-related, prevent a recipient from sharing it, or guarantee that an alert arrives at a specific time.

Check the rule and destination

Before you enable an automation, read several examples of the work alerts. Check that the keyword appears in the alerts you need and not in messages you must keep on the work phone. If a message contains a one-time code or customer information, confirm that your employer allows it to go to the chosen destination.

Use a non-confidential test message. If there are several alert types, make a narrow rule for each type and test each one. A broader rule may be easier to set up, but it can forward personal conversations or messages outside the work task.

For a team workflow, an approved private Slack channel may be a better destination than a personal number. Add only the channel your employer approves. Fwrd sends matching messages to active destinations, so check that list before enabling the automation. The iPhone still needs to receive the original text, stay on, and connect to the internet for chat delivery.

Questions about forwarding work texts

Does this work with an Android work phone?

These steps use Apple’s Shortcuts app and a Message automation on iPhone. They do not describe Android or carrier-based forwarding.

Can I forward all my work messages?

Shortcuts uses a sender or message-content rule. A narrow keyword helps limit which new messages trigger the action. Your employer may still prohibit forwarding those messages, so check its rules first.

Can Fwrd forward work texts to my personal phone number?

Fwrd’s current App Store version sends to Slack, Discord, or Telegram, not directly to a phone number. Apple’s Send Message action can send matching texts to a number if your employer permits that route.

Share approved alerts with your team

If your employer approves a shared chat destination, Fwrd can send selected new texts to Slack, Discord, or Telegram. Start with 15 free forwards each month.

Free for 15 forwards a month. Pro removes the limit for $3.99/month or $29.99/year, with a 7-day free trial on the yearly plan for eligible customers.
